The purpose of this video is to explain how the SampleServe mobile sampling app could be used for off-site and remote location COVID-19 medical screening sampling and management of that data.

Right now communities across the country are scrambling to set up mobile medical screening locations. The technical details and logistics involved are unprecedented. SampleServe is teaming up with TentCraft, a tent manufacture to offer simple and quick solution to some of the more technical problems.

As an overview here’s how the data collection and sample management would work for COVID-19. The mobile app would first be used to collect patient information and basic symptoms and possible exposure scenarios, such as overseas travel and other factors.

Once this information is obtained, samples would be collected and bar-coded and QR coded labels would be placed on the sample containers. The mobile app would then take the digitally collected information and send it to the lab.

Upon receipt of the samples at the lab, the lab would use the SampleServe lab app to scan the labels and match the digital file with the physical receipt of the corresponding sample containers. The lab would then complete the analysis and proceed with the notifications to the patient and/or health department and other entities as they currently do. The SampleServe labeling application and the laboratory login application are currently available for download at no charge on the Google play store.

The mobile sample labeling application is designed to enter information remotely and then push data to the cloud when Wi-Fi or data connectivity has a been established. Customizable questionnaire forms can be easily created and modified.

When samples are collected, labels are printed immediately at the time of sampling, using a Bluetooth thermal label printer. As indicated the labels have both a bar code and a QR code that goes on the lid of the sample container. The samples are then permanently associated with the just completed questionnaire.

All information regarding the testing to be completed is embedded in the bar-codes and QR codes and is also indicated in plain text on the label. A digital chain-of-custody is then created and sent to the designated laboratory. Laboratories are notified well in advance of sample arrival.

The digital chain-of-custody is received by the designated laboratory using the SampleServe mobile lab app. The digital chain-of-custody is sent to the laboratory as a secure digital file. The shipping status of all samples are known in real time.

The QR-coded labels, coupled with the electronically delivered digital chain-of-custody, allows the laboratory to quickly login samples at the laboratory without any miss keys or typos. The SampleServe platform simply delivers a secure digital file to the selected laboratory which can imported into the receiving laboratories information management software.

Both of these mobile apps are available on the Google play store right now. Minor modifications need to be made to optimize for COVID-19 sampling, however those modifications are underway and are anticipated to be completed shortly.
