1.     Digital Chain-Of-Custody; Go Paperless!

No more illegible handwriting on a COC! SampleServe’s Patented “Digital Chain-of-Custody” (D-COC) with built in 3-part authentication is used to digitally document the who, when, and where of sample collection and sample delivery to the laboratory.

How D-COC Works:

When a sample is collected, we verify the sampler’s identity 3 ways;

1.    The Users username & password; remember security 101 “never give out your password”,

2.    The Users signature; signed digitally with your finger on the screen,

3.    A User selfie; yes, you read that right, a selfie collected with each sample.

In addition, at sample collection and every exchange of custody, both a GPS and a timestamp are collected automatically. So, we know with certainty, the who, when and where of every sample collected and the delivery path to the laboratory. Watch this short video below for a complete explanation.

In order to do a custody transfer with another party, both users identify the samples they are relinquishing and receiving custody of. They then both go through the same 3-part authentication process. The platform recognizes, in real time, that the new person is in possession of the samples transferred. Again, the time and GPS location are recorded for both parts of the custody transfer.

The SampleServe D-COC is delivered both as a PDF file and a CSV file that is directly uploadable to the laboratories LIMS system. The D-COC makes it very clear about the details of who had the samples and when. The D-COC can be converted into a paper chain-of-custody at any point, if needed, without losing any of the custody details.

3.   Log Samples In Seconds & Eliminate Transcription Errors

The SampleServe free Mobile Field App prints both bar-coded and QR coded labels in the field at the time of sampling. The smaller QR code label is placed on the lid of each bottle for easy scanning. All sample details are in text on the label on the side of the bottle.

When a sampling project is complete, or a set of samples are being shipped, a D-COC is prepared by the user and the lab is automatically notified of the incoming shipment. Once the lab receives the samples, the lab uses the free Lab App to log the samples in at the lab. Watch the video below to see an example.
